About the Role
Are you an organized, proactive, and detail-oriented professional with a passion for keeping things running smoothly? We’re looking for a Facility & General Administration Support Specialist to join our dynamic team and support our daily operations. Reporting directly to the Country Director, you'll play a key role in ensuring our workplace remains efficient, welcoming, and well-coordinated.
Key Responsibilities
Facility Coordination
- Serve as the main point of contact for all office building-related matters
- Manage office supplies: inventory control, restocking, and SAP entries
- Ensure the office remains well-organized and functional
- Coordinate internal and external meetings, including catering arrangements
Administrative & Executive Support
- Be the go-to liaison between the Country Director and the management team
- Manage all travel arrangements and itineraries
- Monitor and respond to the general information mailbox
- Open and distribute incoming mail, scan and dispatch invoices and reminders
- Prepare and format internal and external communications (memos, emails, presentations, reports)
Sales & Finance Support
- Maintain and analyze CRM database to support the sales team
- Assist with contract creation and follow-up on annual agreements with wholesalers
- Support the finance team with mailbox management and customer payment reminders
Your Profile
- We’re looking for someone who brings a strong combination of practical experience, administrative talent, and people skills.
- Proven experience in Facility & General Administration Support
- Proficient in MS Office; familiarity with SAP or similar systems is a plus
- Excellent organizational and multitasking abilities
- Strong team player who thrives in cross-functional collaboration
- Meticulous attention to detail and a knack for structured work
- Effective communicator, both written and verbal
- High level of professionalism, discretion, and confidentiality
- Proficient in French and Dutch; English is a strong asset
